Administrative Services provide administration support to all areas of The Clatterbridge Cancer Centre. There is a wide range of roles in the team but they all provide essential support to make sure day-to-day services run smoothly for our patients, visitors and staff.  

What we do 

Administrative Services support all departments and services at The Clatterbridge Cancer Centre. We carry out a wide variety of tasks that need to be done quickly and accurately to support patient care. Find out more about some of the main areas Administration Services are responsible for.

Administrative Services book the appointments for all our patients including:

  • All outpatient appointments that patients have with our clinical teams for review throughout their care with us
  • All treatment appointments (such as chemotherapy and radiotherapy) – these are made by the Scheduling Teams in Administrative Services. They also book all the supporting appointments such as for blood tests 

Where possible, we will schedule your appointments to reduce the number of separate hospital visits you have to make. We want to make it as easy as possible for you – we know many patients are managing multiple hospital appointments, sometimes in different hospitals. 

We also need to make sure that all appointments are made correctly to help our clinical services run as efficiently as possible. 

Any letters to patients usually come from a team in Administrative Services. This includes:

  • Letters, text messages or emails about your appointments
  • Letters or emails about your cancer care – for example, updates on your diagnosis, condition or treatment. (Our clinical teams dictate these letters and our secretarial team type them up.)

Sending letters like these helps us to make sure that patients are fully updated at all stages of their care with us. If you stay on one of our inpatient wards, you will also receive a clinical update letter afterwards from the ward team who cared for you. 

When you visit any of our sites, you will be greeted by our Reception team. They will explain where you need to go, check that we have the correct contact details for you and help with any other queries you may have. 

If you have a query they can’t answer, they will help you get the information you need.

Our team

Administrative Services is organised into four main teams:

This team processes all new patient referrals to us. They also monitor our performance against the national cancer waiting time standards, making sure patients are seen as soon as possible.  

They host a number of regional multidisciplinary team (MDT) meetings – this is where different specialists from across the region discuss potential new patients and agree treatment plans.

Our Access and Cancer Waits team also supports our Clatterbridge in the Community and Lymphoedema services. It contains some of our cancer support workers (CSWs) who help care for our patients who are not currently on active treatment. 

Our team of secretaries provide administrative support to our consultants, nurse specialists and other clinicians. They create our clinical correspondence, handle patient queries and undertake clinic management so that all available spaces are used for patients.

Our clerks within this team carry out checks before outpatient appointments to make sure all the information is ready for the clinic. They also take calls about outpatient appointments to help with any patient queries.

This team provide scheduling and reception support to our chemotherapy and outpatient teams in Liverpool, Aintree, Paddington and Southport and Ormskirk. They also include the ward clerks on our main site at Clatterbridge Cancer Centre – Liverpool.  

This team provide scheduling and reception support to our chemotherapy and outpatient teams in Wirral, Halton and St Helens.

They also make appointments for our Radiotherapy and Radiology departments, along with our specialist services including Papillon treatment and eye proton therapy.
